The water bottle as a corporate gift and giveaway

A gift left behind on the table has cost money without doing its job. Water in a bottle has one advantage most giveaway items lack: it gets finished the same day, and what remains afterwards is the impression of the sender. Here are the choices that decide whether the gift travels home with the recipient.

Summary

  • A giveaway is judged in seconds. Usefulness decides whether it travels any further.
  • Work out the quantity from the occasion. The minimum order is 120 bottles per design.
  • 350 ml suits handing out on the move, 500 ml suits meetings and longer events.
  • The deadline that governs everything is proof approval. Delivery follows no later than day 10.

What separates a gift from a giveaway

A corporate gift and a giveaway do not solve the same task. The gift goes to someone the sender already has a relationship with, and it can afford to be personal. The giveaway goes to many people, often to people who do not know the sender beforehand, and it has to hold up on its own without a conversation around it.

Bottled water covers both, for different reasons. As a giveaway it is accepted without hesitation, because the recipient immediately understands what it is for. As a gift it is honest: it promises nothing it cannot keep, and it does not end up in a drawer alongside nine other keyrings.

Decide the role before the design. A gift to an established customer can carry a message that assumes the recipient knows who the sender is. A giveaway handed to a passing visitor cannot, and there the name and one short reason to remember it is all that fits.

Work out the quantity before anything else

The quantity is the decision that binds the rest. Start from the occasion rather than from the budget: how many people are actually going to get a bottle in their hand, and across how many days. A stand hands out through the whole opening period, a customer dinner hands out once.

The minimum order is 120 bottles per design. The price steps down in fixed increments from there, so a quantity sitting just below a step can cost more per bottle than a slightly larger run. Volumes above 4 800 bottles are quoted separately.

Bottles that were not handed out are rarely wasted. They work in reception, at the next customer meeting or in a welcome pack, and they can be kept for the next occasion as long as the label is not tied to a date. Running out midway through an event is the more expensive of the two mistakes.

Choose the size for the hand that will hold it

350 ml is the format for handing out on the move. It is easy to carry on in a bag, and it rarely stands half finished on a table. 500 ml suits the situation where the recipient stays seated for a while, in a meeting, at a seminar or over dinner.

Both sizes come in the same variants, so the choice is about the situation and not about the range. The price per bottle includes print and label, and no separate print setup cost is added. Deposit, pallet cost and delivery are added on top and shown in the cart.

The material is r-PET, recycled plastic, in both sizes. That belongs as a piece of information in the product sheet and in the conversation at the stand, not in a headline. A fact that stays still does more than a promise that shouts.

A gift with no expiry date in the design

A year or an event name on the label makes the bottle unusable the day after. A design without a date can go straight on to the next occasion, and then a larger run becomes both cheaper per bottle and easier to plan.

Give the recipient somewhere to go next. A short web address or a QR code gives the bottle a job after it is empty, and that job lasts longer than the thirst. Keep the message shorter than feels right: one line explaining why the recipient should care does more than three explaining what the company does.

Remember that the label carries a fixed information panel. Mandatory information is shown permanently on the label, and that part is not available for design. It is worth knowing before the placement of the logo is settled, not after the proof has been sent.

How the timeline runs

The date that governs everything is not the order date, it is the day the proof is approved. Pure Arctic sends the proof within 1 business day, and delivers no later than day 10 after proof approval. Two proof rounds are included, and production never starts before the approval is in. Five points keep the gift out of the last week before the occasion.

  • Quantity worked out from the occasion, with 120 bottles as the minimum order.
  • Size chosen for whether the bottle is handed out on the move or stands through a meeting.
  • A label without a year, so a remaining run can be used at the next occasion.
  • A web address or a QR code that gives the recipient somewhere to go.
  • One named person with authority to approve the proof, and a deputy.
